Executive Summary

Barlings Barn has been established for 40 years. The owners, Felicity

and Terry Margolis, purchased a tract of Welsh hillside, a dilapidated

cottage with no running water or electricity. They had a vision to create

something special.

Introduction

Felicity and Terry knew they needed a modern CRM to help them manage

their holiday rental property, which is a 13-bedroom facility that is

rented to large groups. They rentthe Welsh property to vacationers by

the week or weekend. They also managed twoSpanish apartment rentals,

until selling those in 2018.

The Challenge

They had encountered difficulty with managing operations based on

spreadsheets andMS Outlook email. They also used mobile

communications based on a Blackberry email system. Prodigm

assessed the needs, the sales process and marketing integration.

We suggested an on-going booking system, client contact process and

effective data capture.

Responding quickly to emailed inquiries with quotes and availability
Adding the booking contacts to the CRM for further stay-in-touch,
coordination, last minute changes, rebooking and referrals
Maintaining a web presence with a booking form
Advertising on a variety of holiday booking sites

Staff coordination: part-time staff involved with bookings management,
forestry cleaning, laundry and marketing database building from all

Results

Barlings Barn is now fully booked for properties in the up-coming season

and can turn-around quotes in a fraction of the time required previously.

Even in the challenges of Covid19 and lockdowns, Barlings has collected

a record number of bookings for “staycations”. The best aspect of using

Zoho has been that the process continues when Terry and Felicity travel

and they have distributed the administrative and marketing roles to new

staff.

Work Smarter from Wherever You Are - New Mobile Apps

Zoho recently released updates for its Android and iPhone apps. The interface has been completely redesigned and the app is now easier to use. All of your crucial information from the CRM is available at your fingertips.

There is also an available called Leads, where you can add leads to your CRM by scanning a business card or a QR code. Stop hoarding business cards and input them into your CRM from wherever you are. Find out more here.

Zoho Calendar CalDav/iCal Integration

Are you tired of having to check multiple calendars when setting up a meeting? You can now have all of your events and meetings in one place. Sync your Zoho Calendar with your Apple device using CalDav. Manage events from your Apple device through iCal and stop having to check multiple calendars. Find out more here.

Chat Within the CRM

Tired of sending a short email when you want to have a quick conversation? The Enterprise version of Zoho CRM offers a feature similar to Skype or GoToMeeting. You can instant message, voice call, video call, share screens, and share files with anyone who is a user of Zoho CRM.

The Chat toolbar is located in the bottom-left corner of any instance of Zoho CRM. It includes tabs for settings, notifications, active chats, groups, and contacts. Adding new contacts requires only an email address.

Zoho Meeting within the Zoho CRM is also great to utilize with clients and is available in all editions of the CRM. It is easy to share screens with clients to meet remotely. From a contact or lead record, go to the 'more options' tab and select "Meet Now!" They do not have to be a user of the CRM.
